01 · Capture✦ AI

Leads from every channel, checked for duplicates.

Every enquiry arrives as a lead with its source recorded, is matched by phone number against the contacts you already have, and gets an owner before anyone has to ask whose it is.

  • WhatsApp chats and click-to-WhatsApp ads, web forms, Facebook and Instagram lead ads, and CSV imports
  • The source recorded on every lead
  • Duplicates caught by phone number, with every number stored in one format
  • One person with several numbers, or one number for several outlets
  • Owners assigned by territory, round robin or account
✦ Optional AI
  • Likely duplicates flaggedPhone rules catch exact matches. AI flags contacts that look alike by name or address, for a person to merge or keep apart.
  • First message read into the leadWhat the customer asked for, the quantity and the location are read from the first message or form, as suggestions on the lead.
  • Spreadsheet imports mappedAI suggests how columns from old spreadsheets or another CRM map to your fields, and lists likely duplicates for you to check before the import.

02 · Converse✦ AI

WhatsApp and email in one inbox.

Customer messages from WhatsApp and email land in one shared inbox, linked to the customer record and the deal they belong to. Anyone on the team can pick up a thread, in whichever language the customer wrote. Messages after the 24-hour window go out as templates, which Meta charges per message (current rates for Singapore and Malaysia).

  • The official WhatsApp Business Platform with several numbers and agents, not reps’ personal phones
  • Gmail, Microsoft 365 or any IMAP mailbox in the same inbox
  • Threads linked to the customer and the deal, with transfers and internal notes
  • Approved templates for messages after WhatsApp’s 24-hour service window
  • Photos, PDFs, locations and voice notes kept on the thread
✦ Optional AI
  • Conversation summariesEach WhatsApp or email thread is summarised on the deal: what the customer wants, what was agreed and what is still open.
  • Deal fields from the chatQuantities, dates, budgets and competitors mentioned are proposed as deal updates, and the rep accepts each one with a click.
  • Reply drafts with live dataDrafts in the customer’s language and tone, with prices, stock and order status read from the ERP. An agent checks and sends.
  • Messages sorted and routedNew leads, repeat orders, payment confirmations, complaints and price questions are tagged and sent to the right person or queue.
  • WhatsApp assistant with handoverOff by default. Answers questions about your own products, stock and orders, says it’s automated, and hands anything uncertain to a person.
  • Reply coaching, opt-inOnly if you ask for it and reps are told: suggestions on their own replies. Never used to assess or rank people.

03 · Visit✦ AI

Built for sales in the field.

Reps get each customer’s history, the day’s visit plan, targets and activity logging in a field sales app. The report is filled in at the visit, so there’s no end-of-day paperwork.

  • iOS and Android app that works on a weak signal and syncs when it’s back
  • Day plan with each customer’s history, open orders and invoices
  • GPS check-in and check-out with a photo, and fake-GPS detection
  • Visit forms per industry: shelf audits, site tours, test drives
  • Targets and progress for every rep
✦ Optional AI
  • Visit notes into reportsTyped or dictated notes become a report in your visit form, with next steps and dated tasks for the rep to confirm.
  • Visit briefsBefore each visit, a short brief from the customer’s recent orders, open invoices and last conversation, with links to each.

04 · Close✦ AI

One pipeline, start to close.

Every deal moves through the stages your industry uses, with its activities, tasks and reminders, so managers read the pipeline instead of chasing updates.

  • Stages per industry, from templates for distribution, property and automotive
  • Activities, tasks and reminders on every deal
  • Funnel by stage, rep and period, with conversion and deal age
  • Activity per rep, from visits, calls and messages
  • A reason recorded for every lost deal
✦ Optional AI
  • Pipeline digest for managersRules find deals with no next step or stuck too long. AI writes each manager a weekly digest with links to the deals.
  • Ask CRMAsk “which outlets in Tampines haven’t ordered in 30 days?” and get the list, with the filters used and links to records.
  • Follow-ups for quiet quotationsQuotations with no reply after the days you set get a follow-up draft in the customer’s language, for the rep to send.
  • Win and loss patternsReasons deals are lost, such as price, stock or response time, read from conversations and grouped across the team, never per person.
  • Repeat order signalsFor distributors: a statistical model lists customers likely to order this week, and AI writes why from their order history.

05 · Sync✦ AI

In sync with your ERP.

The CRM connects to your enterprise resource planning (ERP) system and other systems, so customers, prices, stock, orders and invoices are the same in the CRM and the ERP. Quotations use the ERP’s prices and stock, and an order goes through once the credit limit is checked.

  • Customers, price lists, stock, sales orders, invoices and receivables kept in step with the ERP
  • Quotations priced from the ERP, with live stock
  • Credit limit checked before an order is confirmed
  • Won deals become sales orders without re-typing
  • Other systems connected through the API
✦ Optional AI
  • Quotation drafts from the chatWhat was agreed in a chat becomes a quotation draft with ERP prices, stock and credit checked. Larger discounts go for approval.
  • Repeat orders into sales order drafts“Same as last month” in a chat becomes a sales order draft from the last order, checked for stock and credit by the ERP.

  • Payments recorded against the invoice in the ERP
  • Receipts sent once a payment is confirmed

CRM: common questions

Does the CRM work with WhatsApp?

Yes. The CRM connects to the official WhatsApp Business Platform, so customer messages land in one shared inbox next to email, linked to the customer record and the deal they belong to. Reps’ personal WhatsApp numbers can’t be connected: the inbox needs a business number. Messages after the 24-hour service window go out as templates, which Meta charges per message.

Is there a mobile app for field sales?

Yes. Reps get an iOS and Android app with the day’s visit plan, each customer’s history and open orders, GPS check-in and check-out, and visit forms filled in at the visit. It works on a weak signal and syncs when it’s back.

Can we use the CRM before it’s customised?

Yes. The CRM runs the standard workflow from day one. We customise it only after your team has used it and found where it falls short.

How long until we can use the CRM?

The standard CRM can be ready within a week. Customising it to your workflow takes longer, and we plan that once your team has used the standard flow.

Can the CRM run on our own servers?

Yes. Every system runs on our managed cloud or on-premise on your own servers, whichever your security policy and IT setup call for. The code is the same in both.

Who will we talk to?

The technical lead who does the work, with a domain specialist who has done this kind of work before. We reply within 24 hours and sign an NDA on request.

Do we own the customisations?

Yes. You own 100% of the source code. Custom work is handed over with the code, documentation and admin access, the same as every project we build.

Are the AI features in the CRM optional?

Yes. Each AI feature is switched on per company and can be turned off at any time, and every workflow still works by hand. AI prepares drafts, your team approves them. On-premise, AI runs through your own cloud account or stays off.

Can the CRM connect to an ERP we already run?

Yes. The CRM runs on its own and connects to the ERP you already use, or to ours. Which records pass between them is set when we customise it.
